02What we collect
We only collect the personal data you choose to give us when enquiring about a hire or corresponding with us. This typically includes:
- Name
- Email address
- Company or organisation (if provided)
- Hire dates, venue and any details you include in your enquiry
- The content of any subsequent emails or messages you send us
We do not collect any special-category data (e.g. health, religion, biometric data) and we don't ask for it. Please don't include such data in any enquiry.
03Why we use it
We use your information to:
- Reply to your enquiry and prepare a hire quote
- Manage and fulfil any subsequent hire booking
- Issue invoices and keep accounting records as required by law
- Maintain a record of our correspondence in case of later questions or disputes
We do not use your data for marketing without your consent and we do not sell or share it with third parties for their marketing.
04Lawful basis
We rely on the following lawful bases under UK GDPR:
- Contract — to take steps at your request to enter into a hire contract, and to perform a hire contract once agreed.
- Legitimate interests — to respond to enquiries, run our hire desk, and keep records of correspondence. We've considered your interests and don't believe this materially impacts your rights.
- Legal obligation — to retain accounting and tax records for the periods required by HMRC and Companies House.
05Sharing & processors
We don't share your personal data except with the service providers we use to run the company. These currently include:
- Our email provider (for receiving and sending correspondence)
- Our accounting software provider (for invoicing and tax records)
- Our website host (which receives basic technical request logs)
Each of these processes data on our behalf under a written contract that requires them to keep your data secure and to use it only for the purposes we've agreed. Where any of them transfers data outside the UK, that transfer is covered by appropriate safeguards as required under UK GDPR.
We may also disclose information if required to do so by law, or to protect our rights or those of others.
06How long we keep it
We keep your data only as long as we need it:
- Enquiry-only correspondence — up to 24 months from last contact, then deleted.
- Hire records and invoices — 7 years from the end of the relevant tax year, in line with HMRC requirements.
- Server / email logs — short-term technical logs are typically deleted within 90 days.
07Cookies
This website does not set tracking cookies, advertising cookies or analytics cookies. Your browser may store small amounts of technical data (e.g. your chosen colour scheme preference) locally on your device — this never leaves your browser.
08Your rights
Under UK GDPR you have the right to:
- Request a copy of the personal data we hold about you (right of access)
- Ask us to correct data that's wrong or incomplete (rectification)
- Ask us to delete data we no longer need (erasure)
- Ask us to restrict how we process your data while we look into a query
- Object to processing we carry out under "legitimate interests"
- Ask us to port your data to another provider in a structured format
